FAQ interlibrary loan
The basic fee for ILL is 2 Euro for one book or other item or up to 20 copies of an article. For additional copies the fee is 15 Cents per page. Please indicate in the ILL request form in case you do not accept additional costs.
To order an item via ILL you have to put a minimum amount of 2 Euro on your ILL account. The fee for each ILL order will be deducted from your ILL account automatically. Please note, according to the ILL policy in Germany a refund cannot be given, even if the order cannot be processed. For instance this is the case if you order an item via ILL that is available in a library in Frankfurt (except the German National Library).
Payment methods:
- at the PayStation by girocard/Maestro card. Please show the receipt at the service desk, so we can credit your ILL account with that amount.
Any amount left in your account at the end of your study can be refunded. Please come to the service desk first. The money itself will be refunded by bank transfer.
Please come to the service desk to set up an interlibrary loan account. All you need is your student card and a minimum deposit of 2 Euro. Please provide your email address, so we can inform you as soon as the interlibrary loan is available for you to be picked up at the service desk.
To log into your ILL account you need to enter your library card number or student card number and your password. The password is the same as for your library account, preset is your date of birth (ddmmyy).
Please note that any changes to your address or name have to be updated at the service desk. Changes of your email address can only be updated by yourself.
Payment:

If your search in library catalog did not yield the item you are looking for click on the link Search for item via interlibrary loan at the bottom of the result list. The link will take you to the HeBIS-Portal and will start the search you just did in the library catalog. Click on the British flag on the top right side of the screen to change the language of the HeBIS-Portal into English. If you know already that the library does not hold the item your are looking for you can go directy to the HeBIS-Portal.
Once you have found what you are looking for, click on the button request, to view the borrowing information. In case the requested item is not available in any library in Frankfurt you can log in and place an ILL request. Select Frankfurt University of Applied Sciences on the login page and enter your library card number/study chip number and password.
After login in the HeBIS-Portal complete the request form. For books most fields are already filled in with the required information. For articles (Zeitschriftenartikel) please add detailed information about the article you need.
If you request a book via ILL you can indicate in case you want to have the exact edition specified in the request form. Preset is that you accept other editions of the book as well (older or newer edition).
ILL may cost more than 2 Euro (i.e. if an article has more than 20 pages). Please indicate, if you do not accept additional cost. Preset is the acceptance of additional costs up to 8 Euro.
Finally you just have to enter your password again and the request is placed.
If your ILL request is not accepted, it might be because:
- your password is wrong,
- your ILL account balance is below 2 Euro,
- you have not set up an ILL account yet,
- the bibliographic data in the ILL request form is not correct,
- the owning library cannot deliver the requested item.
Log into your library account via the library homepage or the library catalog and click on Your data in the interlibrary loan system. Select Frankfurt University of Applied Sciences on the login page and enter your library card number/student card number and password.
Now you can check the status of your interlibrary loan requests.
We will inform you whether the interlibrary loan request can or cannot be processed and as soon as the interlibrary loan is available for you to pick up at the service desk.
If you did not find the item you are looking for in the HeBIS-Portal you can place a free ILL order (freie Bestellung). Before doing so please make sure your bibliographic data is correct and the desired item is not available locally. For journal articles you always have to search for the journal title, not the title or author of the article.
After login in the HeBIS-Portal with your library card/study chip number and password search for the book or item you need. Click on the link free order at the bottom of the result list, left side. Fill in the request form. Please try to provide a full and accurate bibliographic citation, including author, title, place and date of publication.
If you request a book via ILL you can indicate in case you want to have the exact edition specified in the request form.
Finally you just have to enter your password again and the request is placed.
You may also use document delivery via subito. Please note: via subito material will be sent directly to your given address, but fees are much higher.
Photocopies are in general yours to keep. Normally, books and other items can be taken home, but this will depend on the conditions of the supplying library. The lending library sets the loan period for books. This loan period can therefore vary although it is usually 28 days for a book.
If you provide your email address when registering with us or add it to your library account later, you receive a loan reminder by email one week and one day ahead of the due date. Please note: If you do opt to receive reminders, it is still your responsibility to return or renew your loans on time. The library cannot guarantee the delivery of reminders by email.
If you need to extend the loan period please contact us at least one week before the due date.

We will request a renewal at the lending library. The new due date is 28 days unless we inform you otherwise. If an item cannot be renewed, you must return it to us by the original due date.
